Job Title: Regional Customer Service Executive

Department: Commercial, Marketing & Customer Service Department

Place of work: Hamburg

1) OBJECTIVE

Maximize revenue and profit over the area for both leasing and resale activities.

Represent the values and missions of the company over the whole territory.

2) MAIN DUTIES AND RESPONSIBILITIES

Leasing activity

Factory units

  • Issue factory bookings for the area's customers
  • Monitor pending bookings, factory pick-ups and automatic on hires
  • After pick-up, run a billing simulation to ensure the correct invoicing as per booking terms
  • Promote the company's brand new stocks when in contact with the customers

Depot units

  • Provide Inventory List to customers weekly and/or upon request -
  • Follow indications provided by the Area Commercial & Marketing Director to:
    • Promote special offers (free days…) to lease out of depot boxes in difficult locations
    • Send the availability to targeted customers/locations and tailor-made (locations, types…)
    • Send the most effective day of the week to customers (Friday to let the customers plan the week after)
  • Issue and Manage Lease bookings for the area's customers
  • Monitor and manage pending bookings
  • Maintain customer's mailing list up-dated

Lease Contracts' coordination

  • Create the Contract Sheet into the system (GOLD2000) for each new contract and/or extension.

Resale activity

  • Provide Inventory List to customers weekly (tailored to specific customers if necessary) and/or upon request
  • Follow indications provided by the Area Commercial & Marketing Director to:
    • Promote special prices to sell out depot boxes in difficult locations
    • Send the availability to targeted customers/locations and tailor-made (locations, types…)
    • Send the most effective day of the week to customers
  • Issue booking order and send to depots and customers
  • Monitor and manage pending resale references
  • Maintain customer's mailing list up-dated

Invoicing (leasing and resale activity)

  • Ensure correct billing will be done accordingly with contract terms using billing simulation system.
  • Assist and help customers' inquiries on invoices revision and/or check-up.
  • Analyse, calculate and amend wrong invoices (credit notes or extra billings) using miscellaneous and manual invoicing system.
  • E-billing Management : send monthly electronic invoices right after billing to customers and assist them on any request of their e-billing with IT department

Credit Management

  • Monitoring invoicing process
  • Cash report follow up
  • Monitor and ensure smooth collection of the Account Receivables, together with the Credit Manager, the Resale Manager and the Area Commercial & Marketing Director

Procedures

  • Implement, maintain and up-date the procedures given by the HQ at regional level

Other duties

  • Perform any other duties, from time to time, as may be assigned.
  • Work in coordination with Operations
