Job Title : Project Administrator - Intermediate Level
Description: Job Title: MRP Supply Chain Co-coordinator


Scope of the role :


* This role has key objectives of on-time placement of purchase orders for defined commodity / component responsibility. * Management of supplier "kick off" meeting on initialisation of purchase order. * Management of Purchase orders / Schedule for a defined commodity / component responsibility. * MRP exception messages management in a timely and accurate manner. * Maintenance of professional customer-supplier relationships.


Responsibilities and Accountabilities


Purchase order / Schedule Agreement * Manage the Purchase order or Schedule Agreement creation and placement, in a timely and accurate manner, actively confirming and challenging Supplier capacity, anticipating and delivering relevant actions required to ensure Alstom deliveries will be made on time. * Take full responsibility for issuing drawing/specification changes to suppliers taking a proactive approach to manage and mitigate any possible late deliveries that may arise from the change. * Manage Purchase order/Schedule Agreement kick off meetings with suppliers and Internal Cross functional team using Kick off Meeting fixed agenda and follow up of subsequent actions taking ownership to close out all actions within set target date.

MRP Messages * Manage MRP exception messages in an accurate and timely manner, by means of rescheduling, possible reduction/increase of Purchase order/Schedule Agreement quantities and subsequent notification to suppliers as required taking responsibility and ownership for on time delivery in full (OTIF) to an ever changing production plan. * Proactively identify and investigate those messages that may be erroneous and take relevant action to eliminate the requirements in a timely, effective and accurate manner.

Ontime Deliveries * Manage and drive on time delivery in full OTIF by deploying a High level of Effective Expediting in a dynamic and changing environment, finding innovative solutions to maintain delivery programme and or MRP requirements, working with minimum supervision, for both Product and Documentation, using relevant tools to drive on time delivery in full OTIF, Taking ownership for the immediate and accurate updating of system notes and dates. * Pro-actively manage and issue initial and revised delivery schedules/forecasts detailing key dates, taking full ownership to maintain deliveries of 2nd tier material supplies * Fully responsible to drive and challenge dates which may not be in line with programme requirements.
* Communicate to all relevant parties of any potential shortages/late deliveries without delay as a matter of urgency. * Be responsible to drive all actions associated to mitigation plans to meet the required production delivery schedule. * Pro-actively investigate process issues arising from any supply chain problems - shortages or excess inventory - liaise with other parties as required and be responsible for relevant action. * Pro-actively action Engineering change/Warning notices as required, providing information on, for example, levels of commitment for items being superseded and liaison with all parties concerned on utilisation of obsolete stock taking full ownership to drive resolution.
Supplier Invoice Clearance * Responsible to resolve invoice issues to ensure timely and accurate supplier invoice clearances.


KPI

* Provide and Support the Data collection within the Supply Chain function, taking ownership of data to analyse and make proposal for improvements.
System Errors * Identify and correct or plan for correction of any SAP system data entry errors.
Meetings * Attend and participate to cross functional progress reviews associated to the defined commodity / component responsibilities (Flash 30, MPS, ROE.).Taking full responsibility to ensure that all associated actions allocated to yourself are actioned and closed within the defined date. * Lead meetings and be responsible for the closure of all actions identified.
Inventory * Support Perpetual inventory and annual stock checks, investigate stock discrepancies initiating appropriate corrective action, highlighting procedural failures leading to stock errors and leading or assisting to improve procedures to reduce the number of errors arising. * Identify opportunities for stock reduction without jeopardising service to production or end customers.
Environmental Health & Safety and Quality * Ensuring that the Company's quality, environment health & safety policies are read, understood and adhered to within context of role. * Support all 5S activities and environmental improvements as required. Quality * Report or resolve any non-conformances in a timely manner. * Take part in the development and deployment of processes, working methods and best practices within the Department.

Candidate profile

Educational requirements CIPS preferred Experience and Knowledge SAP ERP System management essential MS Office applications Knowledge of Manufacturing / Project Environment International trade and knowledge of Incoterms Innovative solutions Full clean driving licence
