Our Client has a requirement for a Senior Document Controller, who will be required to work on a contract basis in Leatherhead.

Role Purpose:
Under broad direction, the Senior Document Controller will oversee and perform the full range of document management activities. This includes:

  • Developing and executing the document management plan
  • Ensuring compliance with contractual and project requirements
  • Guiding a team to deliver effective document control systems and processes.

The role will also interface with internal teams, suppliers, and clients to ensure all documentation deliverables are met and managed in line with project objectives.

Job Role Responsibilities:

  • Develop, implement, and maintain project-specific Document Management Plans, specifications, procedures, reports, and work instructions.
  • Ensure compliance with all Document Management Procedures and contractual requirements.
  • Oversee document management activities and deliverables in accordance with agreed schedules, milestones, and cost objectives.
  • Establish and manage both Supplier and Engineering document management processes.
  • Set up and maintain document management systems (e.g., IPMS, Documentum), ensuring correct deployment and utilization.
  • Communicate effectively with Project Management, Clients, Suppliers, Joint Venture Partners, and Subcontractors to resolve documentation and data-related issues.
  • Lead the document management team across multiple offices, managing workload, priorities, and performance.
  • Produce and maintain the Master Document Register, Distribution Matrix, and Supplier SDRL/SDLs within the Project EDMS.
  • Oversee document progress measurement, reporting, and the Document Request for Release process.
  • Support process improvement initiatives, ensuring consistency, efficiency, and best practices across the project and global teams.
  • Provide functional training and development for document management personnel to meet project needs.

Experience / Skills / Knowledge / Qualifications:

  • Must have experience in Supplier Document Management.
  • Proven background in the Oil and Gas industry (preferably with major operators or EPCs).
  • Strong understanding of document management systems, tools, and standards (IPMS, Documentum, or equivalent).
  • Experience developing and executing document management plans, procedures, and registers.
  • Excellent communication and coordination skills across multidisciplinary teams.
  • Ability to manage and prioritize multiple document control tasks across offices and stakeholders.
